The selection process to ensure that records meet the review criteria is both random and targeted. Once submitted, they can be reviewed at any time by the GPhC, with a random sample being selected evenly throughout the year and the registrant informed of the timescales for feedback. The peer will also be contacted to confirm that the peer discussion took place (from next year).

A pharmacy professional and lay reviewer will review anonymised copies of the records and develop a feedback report. Quality assurance will be carried out to ensure the quality and consistency of reviews.

The initial review will be to ensure the correct type and amount of records have been submitted. All the following core criteria then need to be met, otherwise the remediation process may be started. Records must:

  • Have been submitted on time and be true and accurate
  • Be legible and in the correct GPhC format – the GPhC’s templates should be used for guidance
  • Cover the specified period with no unexplained gaps
  • Be submitted by the registrant and relate to activities he/she has conducted
  • Be appropriate and relevant to safe, effective practice and its context
  • Comply with or safeguard patient confidentiality
  • Adequately reflect any special conditions that have been placed on a person’s practice by the GPhC.

The feedback criteria will then be used to offer developmental comments, which can be applied when recording future records. Individuals not selected for review will receive summary feedback from the GPhC based on the reviews conducted. CPD records will start to be reviewed in January 2019, followed a year later by the reflective accounts and peer discussions.
